The course element “Entry control” supports course owners in the reliable implementation and tracking of physical attendance control in the context of face-to-face events.
Identity verification is carried out by scanning the barcode on the UZH Card using a cell phone camera or webcam. The barcodes are compared with the members of the admission group and added to a defined access group (e.g. “present”) after successful verification. If the verification was not successful, the scan person(s) can assign the access group manually.
Entry groups can be used specifically to control the visibility of other course content.
Definition of terms
Access control: The scanning and identity verification process.
Entry control: The course element that enables the admission and attendance process.
Admission group: Defines who is generally allowed to participate in the event.
Entry groups: Lists which participants have been recorded as “present” or “absent” by the scan - these groups serve as a prerequisite for accessing certain course content.
Scan persons group: Persons who are authorized to perform the scan
Step-by-step guide
Configuration in the course editor
- Add course element: In course editor mode add the "Entry control” module to the desired position in the course.

Title and Description: Assign a meaningful title and a short description.

Configuration:
- Define the admission group: Select groups that are authorized for access or create new ones.
- Simplified identity verification: Decide whether the detailed data check (e-mail address and admission group) and explicit confirmation of the scan should be skipped during the scan.
- Define scan persons: Define one or more groups for scan persons. Members of these groups are authorized to scan the UZH Cards. Scan persons without other course roles do not have access to the course administration.
- Check entry groups: If necessary, change the suffixes of the two automatically created access groups.
- Publish the changes.
Course run: Carrying out the access control
Access control can be carried out by course owners, coaches and additionally defined scan persons.
- Starting access control: In the normal course view, open the "Entry control” tab in the entry control course element of the published course.
- Automatic entry: Select the intended admission groups and click on “Scan barcode”.
- Automatic group assignment: After a successful scan, the participants are automatically added to the Entry group.
- Check and manually enter members: Assign individual members manually if the barcode scan is not possible. All changes to the group membership of participants can be viewed by selecting the individual members.
- Manage scan persons: As the course owner or coach, adjust the list of authorized scan persons if necessary.
- Terminate access control: As the course owner or coach, complete the scan process and save the results.
In the “Admission groups” tab, you can see the individual admission groups and the members who are present and absent as the course owner or supervisor. The individual tables can be exported if required.

Manage admission groups
The admission groups defined in the course editor are listed in the “Admission groups” tab of the current course.
- Add individual members: If required, add new members as group members in an admission group. A member can only belong to one admission group. If you try to add a member to more than one admission group, you will receive an error message.
- Remove unauthorized members: Remove unauthorized members from the admission group.
Remove admission groups
Admission groups can be removed in the “Configuration” tab of the course editor. Admission groups removed from entry control remain in the course with their members. If you wish to delete a group and its members from the course instead, you must delete the desired group via the course's members management.

In principle, it is possible to manage the admission groups via the course's members management. However, we advise against this procedure, as these changes cannot be tracked from the entry control course element and students can be incorrectly entered in several admission groups.

Course element from the participants' perspective
If the module is displayed for course participants, they are shown in which admission group or access group they are registered. If the admission group has a description, this is visible to the course participants.

Notes on differences depending on the operating system of the mobile devices used

- Use suitable devices: Use devices with a functioning camera, such as smartphones or webcams. We still recommend carrying out a test run with the planned devices.
- Notes for iPhone users: Allow camera access in the browser and for best performance select the dual wide-angle camera on the back. Make sure that the camera is focusing correctly. Reloading the page and restarting the camera can help with problems.
- Stable internet connection: Ensure a reliable Internet connection during the scanning process.
- Time required per scan: Schedule about 12 seconds per scan with identity check.
- Organization of identity control: Provide sufficient personnel for the scanning process to minimize waiting times.
- Recognize barcodes correctly: If you have difficulties scanning the UZH Card, clean the card and ensure that there is sufficient light.
- Perform internal test: Temporarily add the scan persons to an admission group as normal members/group participants. The scan persons can now test the handling by scanning their own UZH Card.
UZH card
The UZH Card contains a library number. For students, the library number usually corresponds to the matriculation number; for persons with a UZH position without matriculation, it usually corresponds to the personal number. In a few cases, however, the number on the UZH Card may differ from the matriculation and personal number. In these cases, those present must be added to the access group manually.
Notes for iOS users
Allow camera capturing
In order to be able to scan in the OLAT course element "Entry control”, the camera must be explicitly allowed. Each time the dialog window for scanning is opened, the camera must be allowed. Instead of allowing the camera each time, you can allow the camera permanently.

Selecting the camera
iPhones often have multiple cameras. It is important to choose the right one. Tests have shown that the dual wide-angle rear camera works best in most cases. To change the camera in the scan dialogue, first stop scanning and then select a different camera.
Camera focus
Sometimes the camera has trouble focusing. The best thing to do is to reload the page and restart the camera.
